Presentation night is the payoff for an entire season or year, and it only takes one missing trophy or a misspelled name to take the shine off it. The clubs and schools who run the smoothest nights all do the same thing: they plan backwards from the date, not forwards from “we should probably order soon.” Here’s the timeline that actually works.

Between finalising winners, submitting wording, and getting a proof approved, engraving isn’t a same-week task — especially for larger or multi-category orders.
Best & Fairest and Most Improved both regularly end in a tie, and committee decisions sometimes shift late — building in buffer time absorbs this without derailing the whole order.
Delivery, display setup, and who’s collecting what all need coordinating — easier with a week of slack than a same-day delivery.

Finalise categories and confirm winners
Lock in your award categories and the selection/voting process well ahead of time — see our Best & Fairest Categories guide if you’re still deciding the full set.

Submit engraving wording
Names, categories, and any personal messages — submitted online at checkout or emailed through directly.
4–5 weeks before

Receive and approve your proof
We send a digital proof of the exact engraving before production starts — check spelling and layout carefully at this stage, since it’s the easiest point to fix anything.
3–4 weeks before

Production and dispatch
Once approved, production typically takes 3–4 business days, then ships via Australia Post or courier depending on your location.
2–3 weeks before

Confirm delivery and do a final count
Check every trophy has arrived and matches your list before the night — much easier to fix a shortfall with a week of buffer than the day before.
